Cancellation Policy

Booking, Cancellation & Rescheduling Policy Westchilds Productions Booking Confirmation All sessions require a security deposit (retainer) to secure the scheduled date and time. A booking is not confirmed until the deposit has been received. Cancellation Policy Clients may cancel their session more than 24 hours before the scheduled appointment at no additional charge. If a cancellation occurs within 24 hours of the scheduled session, a 10% fee of the total session price will be charged. If a cancellation occurs within 12 hours of the scheduled session, a 20% fee of the total session price will be charged. Security deposits may be retained depending on the circumstances outlined in the client agreement. Rescheduling Policy Clients may request to reschedule their session at least 72 hours before the scheduled shoot date. All rescheduling requests must be reviewed and confirmed by Westchilds Productions, as availability may depend on: Photographer/videographer schedule Location availability Weather conditions (if applicable) Lighting conditions Other existing bookings While every effort will be made to accommodate rescheduling requests, a new date and time cannot be guaranteed due to external scheduling factors. Late Arrival Policy Sessions will begin at the originally scheduled time. Clients are granted a 15-minute courtesy window, however: The session clock begins at the scheduled start time. Payment and session duration will continue regardless of arrival time. Sessions will not extend past the scheduled end time due to late arrival. Punctuality is the client’s responsibility as stated in these policies. Extending Session Time If the client wishes to continue the session beyond the scheduled time, additional time may be requested only if scheduling allows. Any extended time will require additional payment based on Westchilds Productions’ current add-on or hourly rates, which will be discussed and approved before the session continues. Weather & External Conditions For outdoor sessions, weather conditions may impact scheduling. In these cases, Westchilds Productions may recommend rescheduling in order to ensure the best possible results.
